Invoice Management System actions can affect how supplier records feed into the recipient’s credit workflow. Accepting, rejecting or keeping an eligible document pending should follow the underlying transaction and current GSTN rules. These are not substitutes for checking whether credit is legally available. [1]
Match records before deciding
Match GSTIN, invoice number/date, taxable value, tax and receipt of goods/services to the purchase register. Distinguish an unknown supplier invoice from an invoice that is genuine but not yet booked. Record why action is taken. Assign responsibility so that two employees do not make conflicting decisions on the same item.
Reconcile after action
Review the relevant statement and any required recomputation before finalising the return. Preserve an exception list for supplier follow-up, credit notes, amendments and timing differences. Check which document types support a pending action and the current permitted period; do not infer that every item may remain pending indefinitely. [1] [2]
Practical preparation checklist
- Purchase register with invoice-level matching.
- Receipt/acceptance evidence and supplier communications.
- Action log with reviewer, reason and date.
- Recomputed statement/reconciliation before return approval.
Illustrative example
A supplier uploads an invoice against the wrong GSTIN. The recipient should investigate and contact the supplier rather than accept it to increase available credit. Another unmatched invoice may simply be missing from internal books, requiring a different action.
Avoid this mistake
Do not automate “accept all” without controls or assume rejecting an item corrects the supplier’s books. Portal visibility and tax eligibility are different tests. Check current advisory changes before relying on an older IMS screenshot or tutorial.
