An e-commerce settlement usually combines sales, refunds, fees and other deductions. GST reporting should be based on the underlying transactions and applicable rules, not simply the amount credited to the seller’s bank. Marketplace tax collection and the seller’s own liability need separate reconciliation. [1]

Create one reconciliation bridge

Start with the platform’s order and tax reports, then identify cancelled orders, returns, credit notes, shipping charges and platform fees. Map each transaction to the appropriate GSTIN and period. Keep tax collection at source and any income-tax withholding in distinct columns so that credits are not confused with sales reductions.

Review exceptions before filing

Investigate differences between marketplace statements, invoices and books. Document timing differences rather than forcing numbers to match. Reconcile the outward-supply statement with GSTR-3B and purchase-credit data separately. The GST portal provides liability and ITC comparison tools; they support, but do not replace, the underlying accounting review. [2]

Practical preparation checklist

  • Order-wise sales and return/credit-note reports.
  • GSTIN-wise invoice register and marketplace fee invoices.
  • TCS/TDS and other settlement deductions separately identified.
  • Bank settlement bridge and unresolved exception list.

Illustrative example

An order is sold in one month and refunded in the next. The return period and credit-note treatment must be reviewed; deleting the original sale from the earlier ledger can destroy the audit trail and create a mismatch with platform reports.

Avoid this mistake

Do not claim that TCS collection settles the entire seller GST liability. Also avoid treating platform commission as a direct reduction of every tax value without checking the documents. Agree which platforms, GSTINs and transaction volumes the professional fee covers.
