E-invoicing involves reporting specified invoice data to an authorised Invoice Registration Portal and obtaining the relevant registration response. It is not simply sending a PDF invoice by email. Applicability, covered documents, exemptions and reporting restrictions should be checked against current notifications and GSTN guidance. [1] [2]
Assess the business and document scope
Review the relevant aggregate-turnover history, entity category and types of supplies. Do not assume that crossing a threshold means every document, including every consumer sale, has the same reporting treatment. Record the effective date and any exclusion that the business relies on.
Test the operating process
Map item codes, tax rates, GSTINs, place of supply and document numbering from the accounting system. Assign responsibility for failed submissions, duplicate attempts, cancellations and corrections. Store the IRN and acknowledgement response with the invoice. Reconcile the records with sales returns and e-way bills where relevant, rather than maintaining disconnected data sets. [1]
Practical preparation checklist
- Applicable mandate, effective date and covered document types.
- Software mapping and approved invoice master data.
- Error, cancellation and correction workflow.
- Reconciliation of IRNs, sales records and returns.
Illustrative example
A business starts using a new billing tool and assumes every generated invoice has an IRN. A connectivity failure leaves several records unregistered. A daily exception report would identify those failures before customers rely on incomplete documents.
Avoid this mistake
Do not treat a software subscription as proof of compliance or reuse a previous year’s threshold without checking. This guide intentionally does not freeze a universal threshold or reporting window; the current mandate and taxpayer category control the result.
